Authorised access to content is provided by a choice of client components: a desktop application, a browser-based Thin Client or any enterprise-customised portal using Web Services.

The solution promotes team collaboration with content versioning and document annotation facilities. In addition, easy-to-use functionality allows users to work together to track a document or customer through any business process. Further, though content is shared company-wide, each business unit can apply different retrieval criteria corresponding to its work terminology and instantly obtain pertinent information. This is achieved by automatically categorising each data asset on multiple keys when it is initially archived, according to the business-driven requirements of each team.

Recognising that users must sometimes share and modify the information, RSD Folders protects them from overwriting each other’s changes. Version management performs this function by keeping track of the original version and all revisions. The solution allows authorised users to make document revisions, review older versions and remove them if necessary.

One difficulty when working with electronic content is the inability to jot down notes or attach pertinent information. This solution addresses the problem by facilitating the addition of notes to a document, as text or a file attachment. These notes can be designated as viewable only for that user or available to anyone accessing the document.

As electronically stored information increasingly becomes a factor in legal processes, the enterprise must systematically enforce policies that will enable it to produce evidence related to specific content: actually being able to deliver the evidences and to provide information on the «life» of the data. RSD Folders has a number of facilities that enable the production of this information.

Initially when content is archived by the solution, it is sealed to protect it against tampering and can be digitally signed using one of the latest-generation digital signature solutions. In addition the content is automatically preserved for a period of time, in accordance with retention policies set by the enterprise or defined by a triggering event.

Throughout its lifetime, what happens to the data can be traced so that a complete record exists with respect to each event that impacts the content: who and when it was archived, backed up, viewed, printed, etc. In addition, each time the information is accessed, an internal check is automatically performed to ensure its integrity and if a digital signature exists, it is verified.

The information is further protected by enforcing security policies that are set by the enterprise, specific authorisations on what information can be accessed and what can be done with it.

For purposes of legal discovery, to find the necessary content, RSD Folders provides extensive search facilities. It guarantees that any document that is reproduced conforms to the one originally archived and facilitates providing an accurate trace how, when and by whom the content was handled.
